A water filter change is the most common maintenance job in a UAE commercial building, and the one most often left too late. Heat, a largely desalinated supply and buildings with large storage tanks all shorten the useful life of a cartridge. This guide gives a practical water filter change schedule for offices, hotels, clinics and retail sites in the Emirates, plus the RO maintenance, softener, UV and dispenser jobs that sit alongside it.
TL;DR
- Change sediment and carbon filters about every three to six months in a busy commercial building, and always inside the manufacturer's rated life.
- Check RO pre-filters and the membrane on the same visit, because a tired pre-filter damages the membrane downstream.
- Replace UV lamps on their rated date, not when they look dim.
- Summer heat speeds up bacterial growth in stored water, so inspect tanks and dispensers more often from May to September.
- Keep a dated log for every change. It is the quickest way to show an inspector or client that the work is done.

Why the water filter change interval is shorter in the UAE
Most of the UAE's drinking water comes from desalination, as the Ministry of Energy and Infrastructure notes. Desalinated water is low in minerals when it leaves the plant, but it passes through long distribution networks, building tanks and pipework before it reaches your tap. Sediment, scale and a drop in disinfectant residual can all be picked up on that journey.
Three local conditions shorten the water filter change interval:
- Heat. Roof tanks and plant rooms get warm, and warm stored water supports microbial growth.
- Storage. Many commercial buildings hold water in underground and roof tanks before it reaches the filters, so the quality at the filter depends on how well the tanks are managed.
- Hard or high-TDS supply in some areas. Total dissolved solids (TDS) are the dissolved minerals in water. Our guide to TDS and ppm in the UAE explains how to read the figure from your own supplier or lab.
A water filter change schedule for commercial buildings
| Component | Typical interval | Bring forward if |
|---|---|---|
| Sediment pre-filter | 3 to 6 months | Pressure drops or water looks cloudy |
| Carbon block filter | 6 months | Chlorine taste returns, or flow slows |
| RO pre-filters | 6 months | Membrane output falls |
| RO membrane | Often 2 to 3 years, per manufacturer | Output or quality falls early |
| UV lamp | About 12 months of running | Always on the rated date |
| Softener resin and valves | Inspect yearly | Scale appears despite softening |
| Point-of-use dispenser filter | About 6 months | Heavy daily use |
These are typical ranges, not promises. Your equipment's manual and your own usage come first. A hotel kitchen running all day will not follow the same dates as a small office.
RO maintenance: what to check on each visit
Good RO maintenance starts upstream. A reverse osmosis system depends on its pre-filters to protect the membrane from sediment and chlorine. Late pre-filter changes are the usual reason for membranes failing early.
On each visit, an engineer should check pre-filter condition, record the pressure and flow readings, and compare output with the last visit. Falling output over time is the early warning that something needs attention. Our guide to RO membrane maintenance in the UAE explains how membranes degrade and when to replace them.
Softeners, UV and the rest of the system
Scale is a cost in a building with hot water, boilers and cooling plant. A commercial softener, such as the RF1465, protects pipework and heat exchangers, but it needs its salt topped up and its resin and valves inspected. For a broader view of the options, see our guide to commercial water filter systems in the UAE.
UV disinfection works only while the lamp is within its rated life. Replace it on schedule, and clean the quartz sleeve at the same visit. The SovSafe UV range is built for that routine.
Drinking-water points: coolers and dispensers
The last filter in the chain is the one people taste. Every cooler and dispenser has its own cartridge, and in a large building there can be dozens of them, each with a different install date. That is where filter changes most often slip.
Two good habits keep them in order. Label each machine with its filter change date, and change all the point-of-use filters on the same visit, so that none is forgotten. Our guide to dispenser maintenance for UAE offices covers the daily and weekly cleaning that goes with the filter change.
Mains-fed machines suit this routine well because there are no bottles to handle. Two options from our range:
- CrownFlow, a mains-fed water cooler for offices and commercial sites.
- BRITA Top Compact, a compact BRITA filtered dispenser with a cartridge of rated capacity.

Tanks and stored water
Filters can only work with the water they are given. In summer, check that tank lids are sealed, vents are screened and tanks are cleaned on a set date. Legionella control for water systems follows the guidance of the local authority. In Dubai that means the Dubai Municipality, and the HSE's HSG274 is widely used as technical reference. Include dispensers and point-of-use filters in the building's risk assessment.
Matching the schedule to the building
- Offices: filters at six months, dispensers sanitised twice a year.
- Hotels and restaurants: shorter intervals on kitchen filtration, tighter log keeping.
- Clinics: align with infection control routines, and keep full records.
- Retail and malls: usage swings with footfall, so check flow and filter life by meter where fitted.
Use a service plan so the dates are fixed and nobody has to remember them. Our Comprehensive Maintenance programme schedules the filter changes, lamp swaps and sanitisation visits for you.
A chargeable site survey is the way to match the plan to your building. We look at the equipment, the tanks and the usage, and we specify the right treatment for your supply. We do not test or analyse your water, and the survey fee is credited if you go ahead with a project. Request a Quote to arrange it.
Frequently asked questions
How often should I change a commercial water filter in the UAE?
Most sediment and carbon filters need changing every three to six months in a busy building, always within the manufacturer's rated life. Heavy use or a warm plant room brings the date forward.
How do I know a filter has expired?
Slower flow, a pressure drop, a return of chlorine taste or cloudy water are the common signs. Do not wait for them. Change the cartridge on its date.
How often does an RO system need maintenance?
Pre-filters about every six months, with output and pressure readings recorded at each visit. The membrane usually lasts a few years, depending on the feed water and the pre-filter routine.
Does summer change the schedule?
Yes. Heat speeds up microbial growth in stored water, so inspect tanks, dispensers and point-of-use filters more often from May to September.
Do I need a service contract?
You do not have to, but a contract fixes the dates, supplies the parts and leaves a written record after each visit, which is difficult to keep up in-house.
